AI Usage Policy

Last updated: March 6, 2026

1. Introduction

Greenstamp incorporates artificial intelligence (AI) tools to assist users with invoicing, tax compliance, and related business operations. This AI Usage Policy describes how AI is used within our platform, its limitations, and your responsibilities when using AI-powered features.

By using Greenstamp, you acknowledge and agree to the terms outlined in this policy.

2. AI-Assisted Tools

Greenstamp offers the following AI-powered features:

  • Greenstamp Copilot: A chat-based assistant that can help you search invoices, look up counterparty information, manage receipts, and answer questions about invoicing and tax compliance.
  • Tax Field Suggestions: AI-powered suggestions for tax-related fields such as fiscal regimes, tax withholdings, and product/service classification codes based on the information you provide.
  • Invoice Drafting: The Copilot can help create draft invoices based on your instructions and existing data.

These tools are designed to increase efficiency and reduce manual effort. They are not a substitute for professional judgment or expertise.

3. Invoice Drafting — Not Filing

AI agents, copilots, and other automated tools within Greenstamp have the capability to create draft invoices. However, they do not have the ability to file or submit invoices automatically to any tax authority.

All invoices must be reviewed and explicitly approved by you before they are filed. Human review is always required before submission to tax authorities.

4. Data Accuracy and User Responsibility

Greenstamp provides tools for things like tax withholdings, product classification, and fiscal compliance. However, it is up to you, the user, to ensure that this data is valid and accurate.

AI suggestions are advisory in nature and may contain errors or inaccuracies. You are responsible for:

  • Reviewing and verifying all AI-generated content before use
  • Ensuring that invoice data, tax rates, withholdings, and other financial information are correct
  • Confirming that all information complies with applicable tax laws and regulations
  • Consulting qualified tax or legal professionals when in doubt

5. Limitations of AI

AI can make mistakes. While our AI tools are designed to be helpful and accurate, they have inherent limitations:

  • AI outputs may be incorrect, incomplete, or outdated
  • AI does not have access to real-time regulatory changes unless explicitly updated
  • AI cannot replace professional tax, legal, or accounting advice
  • AI suggestions are based on patterns and may not account for your specific circumstances

Always verify AI-generated content against authoritative sources and your own professional knowledge.

6. Data Handling in AI Features

When you use AI-powered features, certain data is processed to generate responses and suggestions:

  • Data sent to AI models is used solely to provide the requested functionality
  • We use commercially available AI models with appropriate data processing agreements in place
  • Your data is not used to train AI models
  • AI interactions may be temporarily cached to improve performance but are not stored permanently for AI training purposes

For more details on how we handle your data, please refer to our Privacy Policy.

7. Changes to This Policy

We may update this AI Usage Policy from time to time to reflect changes in our AI features or applicable regulations. We will notify you of any changes by posting the updated policy on this page and updating the "Last updated" date.

Continued use of AI features after changes constitutes acceptance of the updated policy.
